Key Terms
- Utility software: Programs that maintain, optimise, or protect a computer system
- Defragmentation: Reorganises fragmented files on a HDD so they are stored contiguously
- Anti-malware: Detects, quarantines, and removes malicious software
- Compression: Reduces file size by removing redundant data (lossy or lossless)
- Backup: Copies of data stored separately in case originals are lost or corrupted
- Encryption utility: Scrambles data so it cannot be read without the correct key

- Defragmentation only benefits HDDs — SSDs do NOT need defragmenting
- Compression reduces file size; encryption makes data unreadable — they are different
- Full backup: copies everything; Incremental: only changes since last backup; Differential: changes since last full backup
- 3-2-1 backup rule: 3 copies, 2 different media types, 1 offsite (e.g. cloud)
- Anti-malware uses a virus signature database to identify known threats

Common Mistakes
- Saying defragmentation helps SSDs: Defragmentation only benefits HDDs — SSDs store data differently and do not need defragmenting; defragging an SSD can actually reduce its lifespan
- Confusing compression and encryption: Compression reduces file size; encryption makes data unreadable without a key — they serve completely different purposes
- Treating utility software as application software: Utility software maintains and optimises the system; application software performs user tasks (word processing, web browsing) — they are different categories
- Confusing incremental and differential backups: Incremental backs up only changes since the LAST backup (any type); differential backs up all changes since the last FULL backup — restoration speed differs
- Saying anti-malware blocks all attacks: Anti-malware detects known threats using a signature database — it cannot detect brand-new (zero-day) malware until the database is updated
